Workforce management solutions leader, Softworks, explains how it is helping care home providers prepare for a post COVID-19 workplace.

Over the last year we have been working with our customers to prepare them for a post COVID-19 workplace. It is likely that, for many, there will be a reshaping of teams and upgrading of workforce management procedures and policies that will take into account new ways of working. Our technology enables our customers to optimise workforce planning, scheduling and deployment by aligning their resources with demand. We have been developing our solutions to assist care home operators to become more agile and to drive efficiency and productivity.

We help care home operators to streamline processes, reduce administration, increase productivity and lower costs through improved management and scheduling of employees. Our technology gives them detailed and real-time information on their workforce, resulting in faster decision-making, improved scheduling and better cost and budget management.

Workforce management planning and decisions require accurate real-time information. We give care home operators real insights into employee costs and productivity. Without this information they likely would be regularly overstaffing or understaffing, scheduling without the correct skills, breaching employment legislation and generally running an inefficient organisation. Having this information enables them to offer the highest quality of care to their residents.

Our Rostering solution enables care homes to ensure fairness and equity for care workers.  Personal preferences can be taken into account when creating rosters. Our popular Employee Self Service app enables care workers to record their working hours, check their rosters, request holidays, view leave balances and organise shift swaps if allowable.

The Newbrook Group uses Softworks to manage their Rostering, Time & Attendance and HR functions. They employ 500 healthcare professionals across six care homes. According to Phil Darcy, CEO, Newbrook Group: “The system helps us to manage our payroll and HR functions more efficiently, saving both time and money. From a management perspective the reports produced give timely, accurate and relevant information to enable us to make better business decisions.”

From an operational and future-proofing position, Phil added: “The system allows us to operate at multiple sites with the data being transferred to a central server. Furthermore, the system as now configured will allow us to grow and add more employees across all sites without requiring significantly more resources in either payroll or HR.”
